Last time I got some sandwiches for volunteers and performers, but the band seemed to be more interested in a hot meal and went out for more during the break.  I think y'all were happy with what we provided when you played for us (though the person doing food that weekend brought in quite more substantial food than what I brought).  I do need to consider that as well.<br><br>Also of course travel costs are an issue as well.  We have a max limit for travel, and I am afraid what happens if what we offer happens to be more than their costs (whether it be flight or mileage), that they might back out if they have to incur some out-of-pocket costs.  For closer bands, flights cost a lot less than miles, but then if they drive I think we are obligated to pay miles. If you're not anticipating having that problem, I think the overhead of a lottery in terms of organizer work and attendee stress isn't worth it. I honestly sometimes wonder if YDW's hype has waned enough that we could safely retire our lottery. I'm not sure how to test that though, unless a year comes when we don't fill up during the lottery period.<br><br>I'll also caution that on the occasion we tried to run a lottery for two weeks or less, we got fewer than our normal number of registrations and felt compelled to extend it. I think that may partially have been due to us not getting our act together publicity-wise in time, but I think there's also a lot of people who aren't great at getting something done (like signing up for a lottery) until they've seen several reminders for it. Also sometimes people go on week long vacations and don't have normal computer access.<br><br>Registration: You could probably make registration easier by using a combined registration/payment system. I happen to run one of these, Dancerfly, but it's mostly a hobby project and if you wanted something slicker there's options like Brown Paper Tickets or Eventbrite. It saves you the trouble of having to follow up for payment, since, when you use a ticketing sytem, registration == payment, but the downside is they virtually all charge a fee. And even so, in my experience, registration is always a lot of work.<br><br>Email: I always send YDW acceptance emails as BCC and have never had that issue. I wonder if mail servers have cracked down in the past year or there's something you're doing differently from me. I send waitlist emails individually because I want to tell people their waitlist number, but I have a Python script that generates the email text and then I just copy/paste and hit send. There's probably an even easier way, but it's never been a big enough pain for me to figure out what it is.<br><br>Nametags: YDW uses these acrylic nametag holders and then prints paper nametags to put in them.
